Administrative Coordinator (Review Division)

 

Overview

Are you a resourceful, self-motivated administrative professional with the power to initiate plans, act on your decisions, and follow through to completion? We have an opportunity for an Administrative Coordinator to join and support our Review Division. Reporting to the Senior Manager of Business Services, you’ll be responsible for performing diverse secretarial and administrative support duties that require accuracy and attention to detail.

In this role, you’ll use a high level of discretion and tact in handling confidential and sensitive information. If you have administrative experience supporting senior manager level operations, proficiency in Microsoft applications, exceptional customer service, effective organizational skills, and can execute a high level of professionalism and confidentiality, consider applying for this exciting opportunity.

This is a temporary opportunity for three year to June 2027.

Where you’ll work

At WorkSafeBC, we offer a hybrid work model that combines the convenience of working remotely with the dynamism of working in one of our offices, based on the operational needs of the position.

In this role, you’ll work primarily from our Richmond office, with some flexibility to work from your home in B.C.

What you'll do

  • Organize tasks for the Senior Manager by keeping track of deadlines and following-up on items with management team
  • Receive and distribute correspondence and prioritize items to meet deadlines, ensure security of confidential items, and prepare written responses when appropriate
  • Compose written responses, memos, minutes, presentations, and communications from both verbal and printed sources
  • Manage appointments, meetings, team events, meeting room bookings, PowerPoint presentations, speaking notes, agendas, and catering
  • Coordinate travel arrangements, prepare payment requests, and assist in tracking expenses for the team
  • Draft and proofread emails and correspondence
  • Build and maintain cooperative working relationships with a variety of individuals

  • Synthesize information to summarize main points
  • Rotate through a variety of tasks and responsibilities
  • Exercise discretion, tact, and judgment in handling confidential and sensitive information
  • Meet deadlines in a high-volume, multi-tasking, client-focused environment with a strong attention to details
  • Communicate effectively, both orally and in writing, to deliver information in a professional manner, using excellent grammar and spelling
  • Problem-solve proficiently, demonstrating initiative and resourcefulness
  • Adapt, be flexible and learn quickly

Your background and experience

  • Completion of grade 12 is required. Post-secondary education is an asset
  • A minimum of 3 years of administrative experience supporting senior management and/or Director level operations
  • Proficiency with Microsoft Word, Excel, PowerPoint, and Sharepoint

We’ll consider an equivalent combination of education and experience.

Salary: $63,879 - $77,613/annually
